SwimTech Swimming Lesson Terms & Conditions
The important information below applies to all swimming lessons with SwimTech. Please ensure you have read and understand the following.
- General Information
1.1 Name of Business: SwimTech, based in Newcastle upon Tyne, North East of England.
1.2 Services Offered: Learn to swim lessons for children aged 3-16 years old. Classes of 1-to-1, 1-to-2, 1-to-4 and groups. Adult lessons 1-to-1 age 16+
1.3 Locations of Lessons: SwimTech Wideopen Swimming Pool, Greenfields Community Primary School, Taylor Avenue, Wideopen, Newcastle upon Tyne NE13 6NA and Benfield Sports Centre Swimming Pool, Benfield Road, Newcastle upon Tyne, NE6 4NU, or other specified locations.

2.1 Booking process: To secure a swimming lesson place all registrations must be made via telephone/text: 07866347874 or email caroline@swimtech.org.uk with full details.
2.2 Minimum Age: Pre-school age 3-4 years. Our learn to Swim programmes is suitable for children age 4-16 years. Our adult lessons are suitable for age 16+
2.3 Class Sizes: All classes are subject to limited spaces to ensure individual attention and safety. We operate 1-to-1, 1-to-2, small group (up to a maximum of 6) and advanced group (up to a maximum of 12).
2.4 Payment: SwimTech courses are booked and paid in blocks of 4 lessons and run continuously throughout the year. - Cancellations and Changes
3.1 Cancellation policy: If you wish to cancel your lessons, we require 1 block (4 weeks) notice. Contact by telephone/text: 07866347874 or email caroline@swimtech.org.uk with details.
3.2 Cancellation by Us: In the unlikely event we have to cancel a lesson due to unforeseen circumstances e.g. soiling in the pool, teacher absence, we will be in touch and book a catch up lesson. We do not offer refunds for cancelled sessions as we aim to offer catch up lessons instead.
3.3 Cancellation by You: If you child cannot attend a lesson contact by telephone/text: 07866347874 or email caroline@swimtech.org.uk with details. At least 48 hours notice is required and a catch up lessons may be offered depending on availability and circumstances.
3.4 Courses: SwimTech courses are booked and paid in blocks of 4 lessons and run continuously throughout the year. Holidays will be posted on our website and social media page(s). - Health and Safety
4.1 Medical Conditions: Parents or Guardians must inform us of any medical conditions, allergies, or other special needs that may affect your child’s participation in swimming lessons. It is the parents/guardian’s responsibility to inform us of any future changes in your child’s medical needs. We reserve the right to exclude a child from a lesson if we believe they pose a risk to themselves or others. Swimmer should never attend swimming lessons if they have any infectious illness such as vomiting/diarrhoea, chicken pox, impetigo, conjunctivitis etc – the appropriate waiting time must be adhered to.
4.2 Supervision: All children should be accompanied by a parent/carer, who must stay at the venue for the duration of the lesson. Parents or Guardians must ensure that children are supervised at all times before and after lessons. Children should be supervised in the changing areas and use gender specific changing rooms where appropriate. All children 8 years and over should change in the changing room appropriate to the child and not the accompanying adult.
4.3 Guidelines: All children must wear appropriate swimwear and when required, goggles. All children age 3-4 must wear swim pants/splash shorts (built in waterproof inner brief) in case of an accident. We also ask that children arrive on time for lessons, as late arrivals may not be allowed to join the class for safety reasons. If you arrive late for a lesson, you will be admitted to join your lesson but the lesson will not be extended.
4.4 We recommend that no jewellery should be worn during swimming lessons and long hair should be tied back.
4.5 During the swimming lessons, the teacher acts in loco parentis (‘in place of a parent’), and is therefore solely responsible for the safety, education and welfare of all swimmers. This responsibility takes effect at the ‘handover’ of the swimmer from parent to teacher on the poolside and is relinquished when the teacher dismisses the swimmer at the end of the lesson on the poolside. The swimmer’s safe entry into and exit from the water are the responsibility of the teacher.
4.6 Parents must refrain from becoming involved in the running of the lesson except at the behest of the teacher. Parents should particularly refrain from beckoning to, speaking to or otherwise trying to draw the attention of swimmers during lesson. - Behaviour and Conduct
5.1 Conduct Expectations: We expect all students, parents, guardians or any other associate to respect our staff, fellow swimmers, and the swimming environment. Disruptive behaviour, unsafe practices, or failure to follow instructions may result in a student being asked to leave the lesson. SwimTech hold the right to terminate the contract without further notice and without being required to provide any refund or credit to the swimmer. No future swimming lesson(s) will be offered to the swimmer.
5.2 Liability for Damages: SwimTech is not responsible for personal injury, loss of property, or any accidents that occur outside of swimming lessons or that are caused by a student’s own actions. SwimTech reserves the right to charge you for any damage cost. - Lost Property
6.1 Lost Property: Please ensure you or your child do not bring valuable toys or belongings when attending our swimming lessons. We cannot accept liability for lost, stolen or damaged items. Please ensure clothing and other belongings are clearly labelled with the child’s name. - Data Protection and Privacy
7.1 Personal Data: We collect personal data such as names, contact details and medical information in accordance with the Data Protection Act 2018 (GDPR). This data is used solely for the purpose of running our swim school and will never be shared with third parties without consent, except as required by law.
7.2 Marketing: By signing up for and agreeing for our services, you consent to us sending you marketing communications about our lessons, offers and updates. You can opt out of these communications at any time. - Photographs and Videos
8.1 Photographic consent: We may take photographs or videos of your child during their swimming lessons for promotional use, including social media and advertising. If you do not wish for your child to be photographed or filmed, please inform us in writing. - Governing Law and Complaints
9.1 These terms and conditions are governed by the laws of England and Wales
9.2 SwimTech are fully committed to delivering the highest standards of teaching, learning and childcare in the North East of England. If you or your child are not entirely satisfied with the service we provide we would like to share your feedback. If we become aware of any problem while you or your child is attending our swimming lessons, we will aim to resolve this at an early stage. We will take any complaint seriously. In the first instance, the complaint should be made to caroline@swimtech.org.uk.
9.3 Dispute Resolution: In the event of a dispute, both parties agree to attempt to resolve the issue amicably. If a resolution cannot be reached, disputes may be referred to mediation or other appropriate legal channels. - Changes to Terms
10.1 We reserve the right to amend or update these terms and conditions at any time. Any changes will be communicated to customers via email, text or posted on our website. - Acceptance of terms and conditions
11.1 By booking or attending a swimming lesson with SwimTech, you accept these terms and conditions, and they will form part of the agreement between yourselves and SwimTech.
11.2 SwimTech reserve the right to vary these terms and conditions at any time without prior notice.
